PineLead ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit pinelead.com and use the PineLead service, which finds prospective customers, researches them, drafts first emails for you to review, and sends the emails you approve.

2. Information We Collect

We collect information that you provide directly to us, including:

Account information (name, email address, and password, or your Google profile if you sign in with Google)
Payment information, which is processed by Stripe. We receive a record of each purchase and plan, not your full card details.
The instructions you give the agent: what you offer, your qualification criteria, your sender name, your style rules, and any example emails you paste in
Leads you add by hand or import from a CSV file
Communication data when you contact our support team

When you use the service, we also process:

Connected mailbox data. If you connect a Google mailbox, we store its address and the OAuth tokens that let us act on it (encrypted), the emails PineLead sends from it, and the replies to those threads, which we sync back onto the lead. We use this access only to send the emails you approve and to check those threads for replies.
Sending domains you add, and the DNS records used to verify them
Email content and recipients: the emails you draft or send through PineLead, from the dashboard or the Email API, the addresses they go to, and the delivery events reported for them, such as deliveries, bounces, spam complaints, opens, and clicks
A suppression list of addresses that hard-bounced or complained, so we stop sending to them
Your credit balance and credit history, including which steps were charged or refunded
Usage data and analytics about how you interact with our service

To find and research companies, we also collect information that companies publish about themselves: details of companies from publicly available sources, including the company name, website, tagline, and the people behind it, and information on the company's public website, such as published contact addresses, contact forms, blogs, and social profiles. This can include the names and business email addresses of the people behind those products. This information is kept in a catalog shared across PineLead accounts.

3. How We Use Your Information

We use the information we collect to:

Provide, maintain, and improve the PineLead service, including collecting and researching companies, judging them against your criteria, drafting emails for your review, sending the emails you approve, and syncing replies
Research, qualify, and draft with AI: the relevant public company information, together with your criteria, offer, style rules, and example emails, is sent to our AI provider to produce research notes, scores with reasoning, and drafts
Process your payments and manage your credits and monthly plan
Stop sending to addresses that bounced or complained
Send you technical notices, updates, password resets, and support messages
Respond to your comments, questions, and customer service requests
Monitor and analyze trends, usage, and activities in connection with our services
Detect, prevent, and address technical issues, fraudulent activity, and abuse such as spam

PineLead sends an email only when you approve it in the dashboard; when you have switched on auto-approve for a project, in which case each first email the agent drafts is sent as soon as it is written; or when your own integration calls the Email API.

4. Information Sharing and Disclosure

We do not sell your personal information. We may share your information only in the following circumstances:

With service providers who perform services on our behalf, listed below
To comply with legal obligations or respond to legal requests
To protect the rights, property, and safety of PineLead, our users, or others
With your consent or at your direction — for example, an email you send goes to the recipients you choose
In connection with a merger, sale, or acquisition of all or a portion of our business

The service providers we use today are:

Stripe, for payments
Amazon Web Services (Amazon SES), for delivering email sent from verified sending domains
OpenAI, for AI research, qualification, and drafting
Google, for sign-in with Google and, if you connect a mailbox, Gmail access to send your emails and read the replies to them
Cloudflare R2, for file storage
Resend, for our own transactional emails, such as password resets
Affonso, for affiliate referral tracking when you arrive through an affiliate link
Hosting and analytics providers that run our infrastructure and measure website traffic

5. Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Mailbox tokens are stored encrypted, and API keys are stored only as a fingerprint. However, no internet or email transmission is ever fully secure or error-free.

6. Data Retention

We retain your personal information for as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. The agent's activity log is kept for 90 days. When you delete your account, we will delete or anonymize your personal information within 30 days. Company information in the shared catalog is not part of your account, so it is not removed when you delete your account.

7. Your Rights and Choices

You have the right to:

Access and receive a copy of your personal information
Correct inaccurate or incomplete information
Delete your personal information
Object to or restrict certain processing of your information
Export your data in a portable format
Withdraw consent where processing is based on consent

You can disconnect a mailbox at any time from the Mailbox page, or remove PineLead's access from your Google account settings.

If we hold information about you because your company appears in our catalog, or because a PineLead user emailed you, you have the same rights. Contact us at the address below and we will act on your request.

9. Third-Party Services

Our service links to third-party websites and services, including the company websites we research, and the Google account you may connect. We are not responsible for the privacy practices of these third parties. We encourage you to read their privacy policies.

10. Children's Privacy

Our service is not directed to children under 13 years of age. We do not knowingly collect personal information from children under 13. If you become aware that a child has provided us with personal information, please contact us.

11. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that are different from the laws of your country.
